SERVICES
Circulation Services provides publishers with a complete circulation department on an as-needed basis. You select the service you need and we make it happen. Circulation Services works in partnership with the publisher or circulation director to develop the most effective circulation and fulfillment program.
Need a Circulation Director—Part-time?
Starting with the planning stages, we work with the publisher on the plan for current and future subscription programs, renewal programs, credit order billing programs, and other programs—all as possible contributors to the total paid subscriber file. We assist in the establishment of criteria for successful programs, and a budget for implementation of such programs for the approval of the publisher.
Annual Budgeting
As a consultant, Circulation Services provides input on the development of numbers for annual budgets. Along with budget, this input is based on practical means to meet the needs of the publisher’s circulation demand.
Constant analysis
This input includes the identification of programs that have worked in the past for similar publications and markets; design and writing of each piece to meet these needs; and development to final form of the marketing piece, through delivery of the printed pieces to bindery. (All with the approval of the publisher, of course!)
Reporting
Monthly reports are produced on the progress of each subscription campaign. Additionally, our circulation director conducts a review of the programs in progress through completion. A final report on the success of each program is completed, as well as recommendations for future programs.
Communication with Auditors and USPS
It is our responsibility to maintain positive communication, while monitoring the performance and anticipating needs of all subcontractors. Circulation Services is also responsible for audits and filing of appropriate reports for each issue mailed through the United States Postal Service (USPS). Circulation Services can take steps to establish and maintain Second Class Mailing privileges with the USPS if directed to do so by the publisher.
Phone Services
Circulation Services provides inbound 800-number telemarketing services with an order line that takes subscription calls 24 hours a day. Order line agents are trained in gathering complete information from the caller. Those who order over the 800-number are able to pay with major credit cards or may be invoiced for subscriptions. All agents on our order-line are thoroughly trained in dealing with a variety of calls. Additionally, all telephone calls are recorded for future review in case of detail questions.
Data Processing
All incoming paid subscriber activity is processed at our computer center. This processing includes entry of all new transactions to the paid file, recording the date paid and address. Documents and magnetic media with the computer mailing list are stored on-site.
List Maintenance
We can maintain only the subscriber list, or maintain and merge this list with names from other sources, such as complimentary lists, membership lists and more.
Renewal
All billing and renewal efforts are credit orders and coordinated by Circulation Services, including envelopes, forms, blank letterhead, printing, handling and postage.
Mail House Coordination
The actual labeling and mail drop of the magazines is coordinated by Circulation Services. If necessary, we can work directly with a local mail house or printer in the mailing of the magazine on the shortest practical turnaround.
All names held by Circulation Services are the property of the Publisher and are returned upon written termination of services, nor are they used or disclosed for any purpose without the prior written approval of the Publisher.
